Privacy policy
Last updated
This policy explains how QuickAppsAI ("we", "us"), the operator of Uin1 (Condo Management AI), handles personal information on uin1.com (the website) and app.uin1.com (the web application, and any mobile application that links to this policy). We are based in Quebec, Canada.
1. Information we collect
Account and membership information
When a board member invites you, or you sign in, we process your email address, name, a unique account identifier, your roles in an association and the units you are linked to. Passwords are held only by our authentication provider, Amazon Cognito. Our servers pass them to Cognito to sign you in and never store them.
Association records
Board members enter units, ownership shares, member lists, and related records. This information belongs to the association. We process it only to run the service for that association.
Contact form and email
If you write to us, we receive the name, email address, topic, building name and message you send. The form message is delivered to our support mailbox by email. It is not saved in a database by the website.
Technical information
Our servers and content delivery network record standard request data such as IP address, browser type, time and requested page. We use it to keep the service secure, prevent abuse and diagnose faults.
2. Cookies and tracking
- The app uses strictly necessary, HTTP-only cookies to keep you signed in. They are not used for advertising or tracking.
- The website and the app store your theme and language choice in your browser's local storage on your device only.
- The homepage uses no analytics, advertising or social media trackers and does not sell or share personal information for advertising.
If we add analytics later, we will update this policy first and ask for consent where the law requires it.
3. How we use information
- To provide, secure and support the service, including sending invitations and notifications you need.
- To reply to your messages and requests.
- To meet legal obligations and to detect and prevent fraud and abuse.
We do not sell personal information. We do not use association records to train AI models.
4. AI features
The AI agent is in development. Today, no personal information is sent to a third-party AI provider. If that changes, we will describe the provider and the data involved here and tell users before it begins. Any action the agent proposes requires approval from an authorised board member before it happens.
5. Who we share information with
We use service providers who process information only on our instructions:
- Amazon Web Services for hosting, database, authentication (Cognito), content delivery and email delivery (SES). Data is stored in the United States (us-east-1).
- Cloudflare for domain name (DNS) services and, where enabled, email routing for our support address.
Within an association, other members and board members can see information their role allows. We may disclose information if required by law or to protect rights, safety and security.
6. Where information is stored
Information is processed and stored in the United States on AWS infrastructure. If you are in Quebec, the rest of Canada, the European Economic Area or the United Kingdom, your information is transferred outside your region. We rely on contractual safeguards with our providers and on assessing the risks of the transfer, as the law requires.
7. Retention
We keep account and association records while the association uses the service. When an account or association is deleted at your request, we remove the records from active systems. Logs are kept for a limited period for security. Contact-form emails are kept in our support mailbox for as long as needed to handle your request, and then deleted.
8. Your rights
Depending on where you live, including under Quebec's Law 25, Canada's PIPEDA, the EU and UK GDPR and the California Consumer Privacy Act, you may have the right to:
- access the personal information we hold about you and receive a copy;
- correct inaccurate information;
- delete your information or close your account;
- withdraw consent, and object to or restrict certain processing;
- receive your data in a portable format;
- complain to your data protection authority, such as the Commission d'accès à l'information du Québec, the Office of the Privacy Commissioner of Canada or an EU supervisory authority.
To use these rights, including account deletion, write to support@uin1.com or use the contact form. We may need to verify your identity, and we respond within 30 days. Because association records belong to the association, we may direct a request about them to its board.
9. Security
We use encryption in transit, private storage, access controls limited by role, and secure sign-in. No system is perfectly secure. If a security incident presents a risk of serious harm, we will notify affected people and the authorities as the law requires.
10. Children
The service is for adults who manage or live in condominium buildings. It is not directed to children under 16, and we do not knowingly collect their information.
11. Changes
We may update this policy. The date at the top shows the latest version. For material changes we will notify account holders by email or in the app.
